Processing purposes and retention period

Your personal data will be processed in connection with the (possible) rental of accommodations for recreational stay. Below you will find when your details are processed, what details are processed, for what purpose your details are processed and the retention period of your details per subject.

When you visit our website and/or mobile apps a number of information is automatically stored on our server, such as your IP address (a number that your internet provider gives to your computer when you go on the internet, of which we do not register the latest numbers so that the exact computer cannot be traced), the name of your computer system, the type of internet browser and which web pages you have visited. VfY uses this information to analyse, maintain, improve and secure its website and/or mobile apps and related technologies against fraud. We retain this information for a maximum of two years after your visit.

VfY also uses cookies (this is data that our server sends to your browser with the intention that it will be stored and sent back to our server on your next visit) and similar techniques, such as pixels, javascripts, tags and web beacons. VfY does this in order to measure and improve the use of its website. Where necessary, permission is asked for the placement of these cookies. You can find more information about the cookies in our cookie policy.

If you register as an interested guest, for example via our website or through our app, we will ask you for the following information: your contact details, i.e. your name, e-mail address and/or telephone number. After requesting this information, VfY can send you information about accommodations that may be of interest to you. If our contact does not lead to an agreement for a stay in one of our accommodations (hereinafter: travel agreement), we will remove your personal details after two years.

When you create an account with VfY, you give VfY permission to process your personal data and VfY will also process your login name (email address) and store your password encrypted. You can manage the personal data in your account yourself. The account will be used to exchange information about options, requests and bookings you make for one of our accommodations. The number of logins is also registered, allowing VfY to optimize its website and see if the relevant information reaches you. Once a travel agreement has been made, your account will also be used to share the status of your booking and payments, this travel agreement, guest terms and conditions and our insurance terms and conditions with you. We also use the details of options, requests and/or bookings to make analyses and reports for our strategic and operational management. The account details will be kept by VfY as long as your account is active. When the travel agreement with VfY is terminated, your account details will be deleted after four years. The personal data that VfY processes in connection with the bookings and payments will be retained by VfY for seven years in accordance with the statutory retention period.

Travel contract

When you put an option, make a request or a booking for one of our accommodations, we will ask you to enter more personal details in your account, these are your name, address, email address, telephone number, composition of the travel company, period of stay, payment details and any special facilities. VfY needs these details in order to fulfil its obligations under the travel agreement.

If you rent an accommodation through VfY, we will share your details with the owner and/or manager of the accommodation via the accommodation ticket; these are your name, address, email address and telephone number. In addition, we will share the composition of the travel company as well as the individual personal details of the travel company with the homeowner and/or manager as they are relevant for tourist tax.

Furthermore, VfY must be able to comply with (local) legislation and in some cases (such as for Spain) VFY is also obliged to ask for the type and number of your identity card or tax number. We only use this information if (local) authorities require this and there is a legal basis for this.

VfY uses a payment service provider to process the payment for an accommodation you have booked. The payment service provider is responsible for the processing of your personal data and therefore has its own privacy statement. VfY accepts no responsibility or liability for this.

After a stay in one of our accommodations you can decide to post a review on our website. This review is visible to all users of our website. You will also be asked to include your full name, but at least your first name and place of residence in the review, because this information increases the reliability of the review.

VfY can refuse or remove your review at its own discretion and without giving any reason. You can always request us to remove your review.

Reviews can be shared with our partners who also rent out the accommodation and VfY can also use the reviews for other marketing purposes.

Customer service

If you contact VfY's customer service department with any questions or complaints, we will use your personal information, the reason for contact and the relevant content to process your question or complaint and possibly contact you again.

If your details are not yet known to VfY, customer service may, with your permission, save your details in order to process any future options, requests or bookings more efficiently.

If you have not entered into a travel agreement with us, this data will be stored for two years. If there is a travel agreement between you and VfY, we will keep it for seven years or four years after the end of the travel agreement.

Should there be caused damage to the accommodation during your stay, we will report this damage to our insurance company. We may ask you to send us any supporting documents and we may share your personal details with our insurance company for the settlement of the damage.

The personal details listed under website, registration, account, travel agreement and reviews can be combined so that VfY can carry out various forms of marketing to you that are relevant and interesting to you, such as via email (newsletter), post, telephone and banners and advertisements on websites. VfY will measure the effectiveness of all its marketing activities. Insofar as it concerns parties (with access from) outside the EU and the country in question does not provide an adequate level of protection, VfY will conclude an agreement with these parties in accordance with model provisions approved by the European Commission, or VfY will provide otherwise appropriate measures.

Personal data will only be provided to supervisors, investigative services and tax authorities where this is required by law.

Retention period

Most retention periods have already been discussed per subject, in other cases we will retain your personal data for as long as necessary for the purposes mentioned in this privacy statement and to comply with (local) laws and regulations. We will then delete your personal data and if, after the retention period, we wish to use the data for analytical, historical or other business purposes, we will make your data anonymous.

VfY has taken appropriate technical and organisational measures to protect your personal data against loss or any form of unlawful processing. For example, we regularly provide our website with security scans and the internet connection is secured with an SSL certificate (to be seen by https:// and the padlock in your internet browser).

Employees and third parties will only have access to your personal data if this is necessary for the performance of their tasks.

Questions and/or complaints

You have the right to view your complete personal details as registered by VfY and to have them adjusted when they are incorrect or incomplete.
